Ph.D. degree certificate

my daughter harini sooryanarin conferred with doctrate degree in mar 2013. I would like to know when i can collect the doctarate certificate from the concerned authorities. So that i can plan my trip to pune to collect the certificate in person. What are all the documents i have to produce to collect the certificate since my daughter harini sooryanarain is in USA for her PDF. Thanks and regards
